The meeting was called to order by chairperson Michael
Hopper (Harvard University).
- Members present: Midhat Abraham (University of Arizona),
Brenda Bickett (Georgetown University), Robin Dougherty
(University of Pennsylvania), Meryle Gaston (NYU), David
Hirsch (UCLA), Michael Hopper (Harvard University), Suad
Muhammad-Gamal (Washington University), Marlys Rudeen
(CRL), Simon Samoeil (Yale University), Abazar Sepehri
(University of Texas, Austin), Chris Murphy (LC), Dona
Straley (Ohio State University), Frank Unlandherm (Columbia),

- M. Hopper welcomed the members and guests and asked
each person to introduce him- or herself.
Old business
- The final version of Executive Board minutes from the
fall '94 meeting in Phoenix was distributed. Draft versions
of the minutes from the Executive Board meeting in summer
'95 in Chicago and the general meeting in fall '94 were
also distributed. The following corrections were made
to the minutes from the '94 general meeting: M. Gaston
is not affiliated with NYPL but with NYU. M. Hopper asked
for any additional corrections. G. Youssef moved to accept
them as emended, and the motion was carried.
- M. Rudeen noted that Mary St. Germain had cataloged
6 new titles for MEMP. She also reported that no one seemed
to want to catalog the LC pamphlet collection, so CRL
catalogers will input "collection-level" type
records on OCLC for these items with full contents notes-these
are in the OPAC but only at set level.
- M. Rudeen distributed copies of the MEMP financial statement
and holdings list to the membership. She said that $14,607.03
was available. Because there was a new member (Cornell),
there was an increase in the income from dues. Then she
discussed the materials commitments. For the LC Arabic
pamphlet collection, there is $6,804 remaining from the
total of $27,000 allotted. It is not expected that this
amount will be spent in this fiscal year, but instead
will be spread over 2 years. The same is true for the
$7,000 remaining from the budget for the Shakeri collection.
Per an agreement between M. Hopper and M. Rudeen, this
amount may be spent over two fiscal years. An additional
$6700 has been allocated for the processing of the following
materials, but not yet spent: Sudanese newspapers (at
NYPL, $1,000 annually), Dunya from Turkey (at Harvard,
$600), Yemen Times (continuation, $300 annually), Algerian
newspapers (received from MENA at LC, $2,000 annually),
and Sunday Ghibli (at Cornell, $3,500). The statement
included a list of materials received since November 1994
plus a list of titles that are currently being filmed.
Brackets on the lists indicate incomplete sets. It was
moved and seconded to accept the financial reports.
- M. Hopper has a list of titles that NYPL will be forwarding
to CRL for filming. He asked those members receiving these
titles to compare with their holdings, although no one
seems to be receiving Sudanese titles.
- Shakeri project: M. Hopper had proposed to the Executive
Board to have these cataloged before filming. The cataloger
hired wanted to be paid $12.50/hour and the board approved
this by e-mail. About 30 percent of the collection was
done (the records are currently residing on HOLLIS) but
the cataloger will be leaving at the end of December.
M. Hopper will need to find a new person to finish the
project. Filming may be able to begin in April 1996 -
the head of Harvard photoduphcating says this will take
about six months. All the records can be obtained by searching
HOLLIS using
the title "Cosroe." The cataloger is doing all
original records, although she is checking RLIN and OCLC
for records already done.
- National Library of Algeria: D. Hirsch had met with
the director of the NLA. In the spring he had written
to ask what titles this library had niicrofilmed. NLA
did not send a complete list, however. D. Hirsch has already
asked for more information on exact holdings and on the
terms for obtaining copies. The Executive Board had recommended
examining samples to determine their quality before continuing
to obtain more.
- Committees: M. Hopper pointed out that at last year's
meeting several committees had been set up but nothing
had happened. He asked for volunteers to reconstitute
these committees and to make their reports at either the
summer or fall MEMP meeting.
- The Durham periodicals list project: B. Bickett
and R. Dougherty will continue with this, and M. Gaston
will replace D. Hirsch.
- The Central Asian committee: D. Hirsch will continue,
and C. Murphy and A. Sepehri will substitute for E.
Jajko and G. Atiyeh.
- The funding sources committee: M. Rudeen had already
done some research in the Foundation Directory. She
will continue, and S. Samoeil and J. Weinberger will
join her on this committee.
- Membership drive: At last year's annual meeting suggestions
had been made. In fact, University of Utah has joined.
There was a question: is the University of Chicago a member
of MEMP? No, but their MEDOC is a complementary project.
- Union list: M. Hopper want a union list of what members
have filmed or hold in paper copies or have bought. It's
not clear how much longer LC can continue to film what
they're filming. M. Hopper will circulate a survey to
find out what members are doing with particular titles.
C. Murphy had some contributions to make on the subject
of LC filming: they are contracting with Preservation
Resources. Their newspaper filming backlog will be reduced
to a 1-year backlog. LC can really benefit from knowing
what people are filming - this will help to spread the
resources. M. Hopper said that LC will supply him with
a list of titles projected to be filmed.
- Elections for Executive Board: There were two nominees
on the ballot, M. Gaston and S. Samoeil. J. Weinberger
was nominated from the floor. A motion was made and passed
to accept the three nominees by acclamation.
New business
- Executive Board term limits: M. Abraham had brought
this up in the Executive Board meeting the day before,
to amend the bylaws so that board members could be reelected
once and then sit out one term before reelection. F. Unlandherm
was opposed to the idea. J. Weinberger pointed out the
importance of both experience and new blood. M. Abraham
wanted to withdraw his suggestion. A. Sepehri pointed
out the value of input from new blood.
- National Library of Egypt: M. Hopper mentioned to the
membership that the director of the library was interested
in a cooperation with MEMP. D. Hirsch said he would check
on the quality of the films produced at Dar al-Kutub for
titles to be suggested by membership.
- Suggestions for acquisition: M. Hopper reminded the
membership that any title can be acquired that costs no
more than $600.
- Hopper opened the floor to new business. There being
none, the meeting was adjourned.
