May 1, 1999
12:30 p.m. - 1:30 p.m.
Library of Congress, African and Middle East Section Conference
Room
Washington, D.C.
Present: Helene Baumann, (Chair) Duke University;
Peter Malanchuk, (Secretary) University of Florida; David
Easterbrook, (At Large) Northwestern University; Karen Fung,
(At Large & Past Chair) Stanford University; Dr. Dennis
Galvan, (Faculty Representative) University of Florida;
Joanne Zellers, (Library of Congress & ALC representative);
James Simon (CRL); Beverly Gray, Library of Congress
The CAMP Executive Committee did not meet prior to the
CAMP Business Meeting.
1. A Nominating Committee consisting of Karen Fung
and David Easterbrook was formed to establish a slate of
candidates for the Office of Secretary, one Member-at-Large,
and one faculty representative. The mail ballot will be
ready by August 1, 1999 and sent by CRL to the membership
on September 1, 1999 with a return date to CRL by September
30, 1999.
2. The Chair will write a letter to the African Studies
Association (ASA) Board of Directors and the current ASA
President, Dr. David Wylie of Michigan State University
discussing the CAMP membership concern that the ASA Conference
papers have not been sent to their long-standing archival
repository at Northwestern University's Africana Collection
in Chicago for the last several years. It is the understanding
of the CAMP membership that the ASA Conference papers are
now available solely in CD-ROM format with the whereabouts
of recent original papers now unknown. Current expert knowledge
of microfilm preservation and CD-ROM technology counsels
against such policy since the longevity of the CD-ROM format
as a recorded data format has not been established. The
CAMP Chair will urge President David Wiley to ensure the
microfilming of all ASA current and future conference papers
be completed prior to the conversion to CD-ROM format. Simple
scanning of documents without preservation microfilming
prior to their conversion to CD-ROM format should not become
the standard operating procedure for the ASA papers. The
CAMP Chair should also urge that all ASA Conference Papers
be placed within the Northwestern University Archives.
3. Joe Caruso will chair a new CAMP committee on
Archival Preservation and Implementation whose charge is
to establish a coherent set of guidelines, parameters, appropriate
methodology, and timelines for future identified archival
film projects that are recommended by the CAMP membership
or brought to the committee by outside petition. Experiences
learned from the Senegal Archives Project will be incorporated
into the methodology and operational structure for potential
future archival film projects. Committee Members include:
Joe Caruso, Columbia University (Chair); David Easterbrook,
Northwestern University; Dennis Galvan, University of Florida;
Miki Goral, UCLA; Lauris Olson, University of Pennsylvania;
Laverne Page, LC; and Peter Malanchuk, University of Florida.
4. The CAMP By-Laws Revision mail ballot will be
included with the CAMP Elections ballot and sent out on
September 1, 1999 to institutional members with a return
date to CRL by September 30, 1999.
5. CAMP position on damaged African Archives resulting
from War and/or Natural Disasters:
"Within our capacity, CAMP will seek to replenish African
archival materials whose loss was caused by war, conflict,
and natural disasters those materials which can reconstitute
archives by offering copies of CAMP held resources not otherwise
restricted by copyright and formerly held by that African
library, archive or research institution. This is a statement
of general principle with specific details to be developed
and voted upon by the CAMP membership on an individual basis."
[Note: This statement was later revised by Karen Fung and
put forward to the membership for discussion prior to final
ballot submission.]
6. Joanne Zellers suggested that the CAMP minutes
be placed on CAMP's Web Page. James Simon said that has
been the case for the past few years. Zellers suggested
that other additions could be made including CAMP Highlights
from the membership, New Committees, Nominating Committee
Announcements, and status of Current Projects Underway,
Projects Completed, and Recent Acquisitions. Malanchuk strongly
supported these suggestions as examples of CAMP membership
use and contributions would provide valuable promotional
material for CAMP and CRL.
Zellers also urged an article be written for the ASA News
and placed on the Web Page discussing the importance of
faculty placing their personal archives into the CAMP collection.
She also encouraged the formation of a future panel discussing
preservation for the researcher in terms of sustaining personal
archives and encouraging their transfer of research and
field notes to CAMP.
7. James Simon asked that $275.00 be allocated for
the continued filming of Les Echos a current Mali newspaper.
The Executive Committee concurred. He also announced that
the Weekly News of Malawi would be filmed as well.
